How Much Does Wedding Catering Cost in Mumbai?
Nobody can answer this with a single number, and anyone who does is guessing. But the things that decide it are entirely knowable — and once you understand them, you can compare quotations properly instead of just looking at the total.
Why there’s no single answer
Two weddings with the same guest count can differ by a factor of three. The difference isn’t the caterer being greedy — it’s that “wedding catering” covers a plated sit-down dinner for 150 and a five-counter buffet for 800, and those are not the same job.
A quotation is built from six things. Change any one and the number moves.
The six things that decide your cost
1. Guest count
The obvious one, but not linear. Per-head cost usually falls as numbers rise, because staffing and equipment spread further. The jumps happen at thresholds — roughly 100, 300, 500 and 1,000 — where you need more counters and more staff.
2. Number of functions
Engagement, mehendi, sangeet, haldi, wedding, reception. Each one is a separate event with its own menu and staffing. Booking them together costs less per function than booking piecemeal.
3. Menu composition
Paneer, dry fruit, saffron, exotic vegetables and imported ingredients move the number more than the dish count does. Twenty simple dishes can cost less than twelve rich ones.
4. Service style
Buffet is the baseline. Live counters add staff and equipment per station. Plated sit-down service needs the most staff of all — often one server per ten to twelve guests.
5. Venue
A banquet hall with a working kitchen costs less to serve than a farmhouse or a beach venue where everything travels. Some venues also charge outside-caterer fees, which sit outside the catering quotation entirely.
6. Date and season
Mumbai’s wedding season runs November to February, with a second window around April and May. Peak dates cost more everywhere, because every caterer in the city is working. Off-season and weekday dates are meaningfully cheaper.
The costs people forget to ask about
Most quotation disputes come from things that were never discussed. Ask about all of these before comparing two numbers:
- Service staff — how many, and are they included or billed separately?
- Crockery, cutlery and linen — included, or hired on top?
- Counter setup and décor — the food counters themselves, not the venue décor
- Transport and equipment — particularly for out-of-city or farmhouse venues
- Tasting — usually complimentary for larger functions, worth confirming
- Overtime — what happens when the function runs two hours late, as functions do
- Final headcount rules — how late can numbers change, and what are you billed for
A lower quotation that excludes staff and crockery is not a lower quotation. It’s an incomplete one.
How to compare two quotations honestly
Put them side by side and check they describe the same event. In practice they usually don’t.
Same guest count? One may be quoting for confirmed guests and the other for invited.
Same number of dishes, and the same kind? Count starters, mains, breads, rice, desserts separately.
Same service style? A buffet quote and a plated quote are not comparable.
Same inclusions? Staff, crockery, counters, transport.
Same dietary handling? If one prepares Jain and vegan separately and the other adapts existing dishes, those are different operations with different costs. Our vegan catering and pure veg catering pages set out how we handle each.
Where you can genuinely save
Without anyone noticing the difference:
Move the date. A weekday or off-season date is the single biggest lever available, and it affects your venue and everything else too.
Fewer dishes, better ones. Guests remember quality, not the count. A tight menu executed well beats a long one stretched thin.
Book the functions together. One caterer across mehendi, sangeet and reception plans and costs better than three separate arrangements.
Be realistic about attendance. Catering for 100% of your invite list when 70% will come is the most common overspend at Mumbai weddings.
Choose seasonal produce. Out-of-season vegetables and imported ingredients carry a premium that adds nothing to the experience.
Where not to save: service staff. Understaffing a wedding is visible to every guest, and it’s the thing people remember.
How our quotations work
We don’t publish rates, because a rate without context is meaningless — and comparing two published rates tells you nothing about what each includes.
Instead: tell us the date, guest count, which functions, the venue and your dietary requirements. We come back with a suggested menu and a written quotation that lists exactly what’s included — staff, crockery, counters, transport, all of it.
For larger functions we arrange a tasting before anything is confirmed, so the decision isn’t made on paper.
We’ve been catering Mumbai weddings since 2011, from our own FSSAI-certified kitchen in Marol, Andheri East. Nothing is subcontracted.
Frequently asked questions
Why won’t caterers give a price over the phone?
Because the same guest count can mean six very different events. A number given before anyone knows the service style, menu, venue and date is a guess, and it usually changes later.
What’s the biggest single factor in wedding catering cost?
Service style, more than guest count. A plated sit-down dinner needs roughly one server per ten to twelve guests; a buffet needs a fraction of that.
Is off-season catering actually cheaper?
Yes, meaningfully. Mumbai’s peak wedding season runs November to February. Weekday and off-season dates cost less across the whole industry, not just catering.
Should we cater for everyone we invite?
No. Realistic attendance is usually well below the invite list, and catering for 100% is the most common overspend we see. We help you plan a sensible figure with a variance.
Are staff and crockery included in a quotation?
In ours, yes, and it’s itemised. Always check — a lower quotation that excludes staff and crockery isn’t actually lower.
Can we taste the menu before confirming?
Yes. For larger functions we arrange a tasting so the menu is finalised before anything is committed.
Do you cater multiple functions at a discount?
Booking mehendi, sangeet, wedding and reception together costs less per function than arranging them separately, because planning, staffing and transport are shared.
