Catering for Business Meetings in Mumbai: What Actually Works
Board meetings, client visits, investor sessions and training days each need something different from the food. Get the format wrong and the meeting bends around lunch instead of the other way round.
Meeting catering is a timing problem, not a menu problem
Most requests we get for catering for business meetings arrive as a menu question — what should we serve? In practice the menu is the easy part. What decides whether corporate catering works in a meeting is the clock.
A board meeting with a twenty-minute break cannot absorb a service queue. A full-day training session needs energy that lasts to four o'clock, not a heavy lunch that ends the afternoon. A client visit needs food that arrives without interrupting the conversation and leaves no debris on the table.
Every one of those is a different job. Treating them all as "corporate catering, lunch for twelve" is why meeting catering so often disappoints in Mumbai offices.
The five meeting types and what each needs
Board meetings
Quiet, plated or boxed, served without a queue. Nothing that needs cutting, nothing that smells strongly, nothing that crunches loudly while someone is presenting.
Client and investor visits
Presentation matters more here than anywhere else. This is the one meeting where the food is judged as a reflection of your company.
Training and workshops
Full day, so it needs a light lunch plus two proper breaks. Heavy food at one o'clock loses you the afternoon session entirely.
Conferences and seminars
High volume in a fixed window. Needs staggered service or multiple points, or the break doubles in length and the agenda slips.
Interview panels

Working lunches
People are eating and talking at once. Everything must be manageable one-handed, with no bones, no shells, nothing that requires a knife.
The twenty-minute break: doing the arithmetic
This is where most corporate catering in Mumbai quietly fails. If forty people have a twenty-minute break, you need to serve two people a minute for the entire break — and that leaves nobody any time to actually eat.
What fixes it:
Pre-plate or pre-box everything for any break under thirty minutes. A service line is only viable with forty-five minutes or more.
Separate the drinks station from the food. Tea and coffee cause more queue delay than food does, because people linger over them.
Set up before the session ends, not when the break starts. Our team arrives and lays out while the meeting is still running, so the break begins with everything ready.
Use two service points for anything above sixty people. Two short queues clear faster than one long one, every time.
What to serve, and what never to serve
Some food simply does not belong in a meeting room, however good it is.
Avoid: anything that needs a knife, anything with a strong smell that lingers in a closed room, anything that drips or flakes onto documents and laptops, and anything so heavy that the room goes quiet at two o'clock.
Works well: individually portioned mains, dry sabzi with roti or paratha, rice with a thick gravy served separately, sandwiches and wraps for genuinely working lunches, and fruit or a light sweet rather than a heavy dessert.
For meetings that are also occasions — an annual review, a partner announcement — a fuller spread makes sense. That's closer to event party catering than to standard corporate catering.
Dietary requirements in a room you can't leave
In a buffet setting, someone with a dietary requirement can quietly check and choose. In a meeting room with a plate already in front of them, they cannot — and asking in front of a client is awkward for everyone.
So meeting catering has to be labelled harder than any other format. Every item we send to a business meeting carries its dietary category in plain words:
- Regular vegetarian
- Jain — no onion, no garlic, no root
- Vegan — no dairy
- Low oil
- No chilli
- Nut-free

Getting into the building
Corporate catering in Mumbai is half logistics. In BKC and Lower Parel towers especially, the food can be perfect and still arrive late because nobody submitted a vehicle pass.
What we handle in advance rather than at the gate:
Vehicle and driver details submitted to building security the day before.
Service lift booking, which in some BKC buildings needs 24 hours' notice.
Staff ID and photographs where the building requires them.
A named receiving contact on your side, so nobody is calling reception at one o'clock.
Our kitchen is in Marol, Andheri East — roughly twenty to thirty minutes outside peak from BKC, Powai, Goregaon and Lower Parel. That proximity is why we can take short-notice meeting requests that caterers based further out cannot.
Hygiene, and why it matters more with clients in the room
We work to FSSAI standards throughout — temperature-controlled transport, covered service, uniformed staff, documented cleaning schedules and a named supervisor accountable for each delivery.

How to brief us for a business meeting
Six things, and you'll get a useful quotation first time:
1. Meeting type — board, client, training, conference, interview.
2. Exact headcount, and how firm it is.
3. The break window — when it starts and how long it runs.
4. Dietary breakdown, including how many Jain and how many vegan.
5. Room and floor, plus building access requirements.
6. Whether external guests are attending.
That last point changes the recommendation more than anything else. Internal team lunch and client-facing lunch are two different briefs, even in the same room on the same day.

How much notice do you need for business meeting catering in Mumbai?
A day is comfortable. Same-morning requests are often workable because our kitchen is in Marol, Andheri East — twenty to thirty minutes from most Mumbai business districts outside peak traffic.
What is the smallest meeting you cater for?
A ten-person boardroom lunch is a completely normal request. There is no minimum that rules out a small meeting.
Can you serve within a twenty-minute break?
Yes, but only with pre-plated or boxed service and setup completed before the break begins. A buffet line cannot clear forty people in twenty minutes.
Do you handle building passes and lift bookings?
Yes. Send us the building's requirements and we submit vehicle details, staff IDs and service lift bookings in advance rather than negotiating on arrival.
